Here at EGSA, the health and safety of our members and conference attendees is our number one priority. We also understand that we have to get back to face-to-face meetings so you can continue to grow your business and network. That’s why we are taking the necessary precautions to create the safest environment we can at our Fall Conference.  

Here are some of the protocols we will enforce in order to protect you. All protocols MUST be followed whether you are vaccinated or not:

1. ALL attendees (including guests/spouses) are required to wear a medical mask at all times, except when eating and drinking. EGSA will be proving medical grade masks at registration.
    
2. Each morning, attendees will scan a QR code and fill out a health screening questionnaire from their phone. If the questions are answered correctly and there is no concern for COVID exposure, a green checkmark will pop-up on their screens. They can then bring their phone to staff at an entry point, who will take their temperature and give them a wristband for the day. Anyone with a temperature over 100.4 will not be permitted into the event. This applies to EGSA staff as well. 
    
3. Social distancing protocols will be strictly enforced. Rooms will be set for one person per 6’ table, or four to five people per round table.
    
4. EGSA Staff will utilize an event app that all attendees will have access to prior to the meeting. Attendees can message staff anytime, and staff can send out push notifications throughout the event. 
    
5. There will be a Pandemic Compliance Advisor (PCA) on-site for the duration of the event.
    
6. There will be a COVID-19 Compliance Officer (C19CO) on-site for the duration on the event.
    
7. We will go 100% paperless. All information will be entered into the event app.
    
8. All food and beverage with either be individually wrapped and/or handed to you by an attendant behind a sneezeguard.
    
9. We will use bottled water instead of water coolers. 
    
10. Receptions will be seated instead of open to mingle, and attendees will be called to the food line by table number. 
     
11. Hand Sanitizer machines will be outside of every elevator bank on each floor, as well as throughout the meeting space.
     
12. Outdoor event space will be utilized as much as possible – weather permitting. 
     
13. We are working with local authorities to follow procedures if someone gets sick.

Dress Code

The dress code for the event is business casual (slacks and collared shirt for men, equivalent for ladies).  If you are participating in one of our networking events on Tuesday, make sure you bring appropriate clothing for the weather and conditions.  

Arrival on Sunday, October 3

Please make sure to arrive in time for our First Timer/New Member reception on Sunday, from 5:00 – 6:00 p.m.  

After you check in to your room at the conference hotel, you will check in at the EGSA registration desk.  You will receive your badge, drink tickets and other conference materials.  If you purchased a booth in our Exhibitor Showcase, you can set up your space from noon-5:30 p.m.  

Your first networking event will be the First Timers/New Members reception from 5:00 – 6:00 p.m.  

At the reception you will meet the other first time attendees and mingle with EGSA’s Board of Directors and Committee Chairs.  They will give a brief overview of the event and answer any questions you may have.  When the First Timer/New Member reception ends you will go to the Welcome Reception with all of the conference attendees.  This reception will serve heavy hors d’oeuvres and goes from 6:00 p.m. – 7:30 p.m.

Monday, October 4

The EGSA registration desk is open from 7:00 a.m. – 11:45 a.m.  

Breakfast is served in the Exhibitor Showcase from 7:00 – 8:00 a.m. 

The conference program begins at 8:00 a.m. and goes through noon.

Lunch is served from noon – 1 p.m.  Please note that the lunch is for full attendees only – spouses and guests are not included.

Committee Meetings 1:00 – 5:00 p.m.

You can come and go from any committee meeting as you like.  You don’t have to stay for the entire meeting.  Please let us know which meetings you plan to attend when you register so that we have enough seating in each room.

Banquet Dinner 6:30 – 8:00 p.m.

There will be several bars open while you network with fellow attendees from 6:30 – 7:00 p.m.  At 7:00 p.m., the doors will open and you will sit wherever you like.  Dinner will be served.    

Tuesday, October 5

The EGSA registration desk is open from 7:00 a.m. – 12:00 p.m.  

Breakfast is served in the Exhibitor Showcase from 7:00 – 8:00 a.m.  

The conference program begins at 8:00 a.m. and goes through noon.

The networking events are scheduled from noon-6:00 p.m.  Each event requires a separate fee to participate.  You can read about each event here.

The Closing Reception is from 7:00 – 8:30 p.m.  The golf and shooting winners will be recognized.  This reception will serve heavy hors d’oeuvres.

If your company is a member in good standing* and you are receiving only non-member options when registering for the conference, it means that either you have not been added to the employee list in our database or your email address does not match our records.

To get added or to update your contact info, please e-mail Liz Bustamante from your work e-mail address and she will get you added to your company's employee list.  Once that is done you can register and receive member pricing.

Please note, if your email address does not match the format of the other employees from your company, there will be a delay since we will have to verify your employment.

*Being a member in good standing means that your company's 2021 membership dues are paid.  To renew your membership, contact Debby Robinson in EGSA's Accounting Dept.

**A “Guest” is a significant other/adult attendee 21 years of age or older who is serving as your date for the evening receptions and meals.  A coworker needs to register as a conference attendee to participate in the conference.  

Due to the business nature of the Conference, minors under 21 years of age are not permitted to attend the Conference or any of its individual events, including Educational Sessions, Exhibitor Showcase, Breakfasts, Breaks, Luncheons, Receptions and the Awards Banquet.
 

Children may join you at the hotel, but are not permitted at any of the Conference related functions including meals and receptions.

Attendees who are in the industry, but not members of EGSA, pay the non-member registration fee. Yes. There are 12 committee meetings that convene during the conference. You can walk into any committee meeting during its listed time.  Please ensure you select which committee meetings you are interested in attending when you register for the conference.  This helps EGSA staff make sure we have enough seating in each room.
 

Within reason, we can accommodate your special dietary need. Please e-mail Emily Hartstone, EGSA Meeting Manager, and let her know your needs. She will make proper arrangements prior to your arrival.
